These Terms & Conditions apply to orders placed with Virginia White Collection Ltd (“Virginia White Collection”, “we”, “us” or “our”), whether through our website or directly with us.
By placing or confirming an order with Virginia White Collection, you agree to the terms applicable to that order. Separate Terms & Conditions apply to furniture orders and will be provided as part of the ordering process.
1. Product Information
We take reasonable care to ensure that product descriptions, specifications, images and other information provided on our website, quotations and order documentation are accurate.
Our products are made using natural materials and specialist printing, weaving and manufacturing processes. Variations in colour, weave, texture, finish and other characteristics may occur and are inherent to the materials and processes used.
Colours displayed on screen or in printed materials may vary and should not be relied upon as an exact representation of the finished product.
Measurements are approximate unless otherwise stated.
2. Pricing, Quotations & VAT
Prices for products available to purchase directly through our website are displayed in GBP and include VAT where applicable.
For products ordered directly with Virginia White Collection, pricing will be provided by quotation or invoice. Applicable VAT, delivery charges and any other agreed costs will be stated as part of the ordering process.
Unless otherwise stated, quotations are valid for 30 days.
We reserve the right to amend prices and product information at any time. Changes will not affect an order that has already been accepted by us, except where there has been an obvious pricing or other error.
3. Orders & Payment
Orders for our main collection of printed fabrics, woven fabrics and wallpapers are placed directly with Virginia White Collection or through one of our international showrooms.
All orders placed directly with Virginia White Collection must be confirmed in writing. Your invoice or order acknowledgement will set out the products, quantities, pricing, billing and delivery details applicable to your order. It is your responsibility to check these details carefully before confirming or paying for your order.
Unless otherwise agreed, fabric, woven and wallpaper orders must be paid for in full before they are processed.
For quantities of 30 metres or more that are printed or woven to order, a 50% non-refundable deposit may be accepted, with the remaining balance payable prior to dispatch. Any applicable payment terms will be confirmed on your quotation or invoice.
A delay in payment, approval or confirmation of specifications may result in a corresponding delay to production or delivery.
4. Availability & Reserves
All products are subject to availability.
Where stock is reserved for a customer, the applicable reserve period will be confirmed at the time. If payment or confirmation is not received within that period, we reserve the right to release the goods back into available stock.
We reserve the right to decline or cancel an order if a product becomes unavailable, there has been an error in product or pricing information, or we are otherwise unable to fulfil the order.
Where payment has already been received for an order that we are unable to fulfil, the relevant amount will be refunded.
5. Fabrics, Wovens & Wallpapers
Our fabrics, wovens and wallpapers are printed, woven, cut or otherwise supplied to order.
Where possible, fabric and wallpaper will be supplied as one continuous length, although this cannot always be guaranteed.
Please check all design names, colourways, quantities and specifications carefully before confirming an order.
Due to the specialist and often traditional processes used in the manufacture of our collection, complete uniformity between production batches cannot be guaranteed. Variations in colour, texture, weave and other characteristics may occur.
Samples & Cuttings for Approval
Samples are intended to provide an indication of colour, texture, scale and material. A sample may originate from a different production batch to the final order and should therefore not be relied upon as an exact batch match.
Where an order is being supplied from existing stock, we recommend requesting a Cutting for Approval (CFA) from the relevant stock batch where a close colour or finish match is important.
Where a product is being printed or woven to order and a close match to an existing sample is required, please discuss this with us before production begins.
6. Treatment, Fire Ratings & Care
Unless otherwise stated, Virginia White Collection fabrics are supplied untested and untreated.
Our standard wide-width wallpapers are B-s1,d0 classified, and our Vinyl I and Vinyl G wallpapers are B-s2,d0 classified.
Where fabric is required to comply with applicable fire safety or other regulations for its intended use, appropriate fire-retardant treatment or interlining may be required. It is the customer's responsibility to ensure that the product and any treatment specified are suitable and compliant for its intended application.
We recommend purchasing 1 metre / 1 yard of fabric or wallpaper for testing before any treatment is applied to the full quantity. Virginia White Collection can recommend a treatment supplier where required.
Fire-retardant treatment, Crib 5 treatment, stain protection and other specialist treatments must be arranged with the relevant treatment provider unless otherwise agreed with Virginia White Collection. We cannot accept responsibility for damage, colour changes, shrinkage or other issues resulting from treatment or handling carried out by third parties.
Any third-party treatment should therefore be tested on a suitable sample or small quantity before treatment of the full order.
Unless otherwise stated, we recommend that our fabrics are dry cleaned only. A spot test should be carried out in an inconspicuous area before cleaning or applying any cleaning product.
7. Archive Designs
The Archive comprises Virginia White Collection designs and colourways that are no longer part of the current collection.
Archive fabrics, wovens and wallpapers may be available to order subject to production feasibility and a minimum order quantity of:
15 metres for UK and Rest of World orders
15 yards for USA orders
Archive availability is not guaranteed and will be confirmed following enquiry. Pricing, lead times and any specific production requirements will be confirmed before an order is placed.
As Archive orders are produced or supplied to order, they are subject to the same relevant terms relating to natural variation, batch variation, payment, delivery and returns as other fabric, woven and wallpaper orders.

8. Furniture
Furniture displayed on our website is available to order directly through Virginia White Collection and cannot be purchased through the website.
Furniture orders, including made-to-order, bespoke and customised pieces, are subject to separate Furniture Terms & Conditions. These will be provided as part of the quotation and ordering process and will form part of the terms applicable to the order.

9. Changes & Cancellations
Requests to change or cancel an order must be made in writing as soon as possible.
Whether a change or cancellation can be accommodated will depend on the status and nature of the order.
Once fabric has been cut, printing or weaving has commenced, or production of another made-to-order product has begun, it may not be possible to change or cancel the order.
Nothing in this section affects any cancellation rights you may have under applicable consumer law.
10. Samples Ordered Online
Samples of selected fabrics, wovens and wallpapers can be ordered directly through our website.
Retail samples are charged at the price displayed on the website. Approved trade customers may order up to 5 complimentary samples from each product category (Printed Linens, Wovens and Wallpapers) using the relevant trade sample code. Samples requested in excess of this allowance may be charged at the standard sample price. Trade sample codes are issued to approved trade account holders and are subject to the terms of the trade account.
Samples are subject to availability. Delivery charges are calculated at checkout according to the destination and number of samples ordered.
As noted above, samples are representative and may not originate from the same production batch as a subsequent order.
11. Studio Sale
Studio Sale comprises limited quantities, remaining lengths, discontinued designs and other end-of-line fabrics and wallpapers.
Products are sold according to the description, quantity and condition stated on the individual product page and are subject to availability.
Where possible, fabric and wallpaper will be supplied as one continuous length, although this cannot always be guaranteed.
Due to the cut-to-order and limited nature of Studio Sale products, we are unable to accept returns or exchanges unless goods are faulty, damaged or incorrect. This does not affect your statutory rights.
Studio Sale products can be purchased directly through the website for UK delivery. For international Studio Sale orders, please contact us for a shipping quote and applicable terms.
12. Shipping & Delivery
Delivery costs, arrangements and estimated lead times vary according to the product, order and destination.
For orders placed directly with Virginia White Collection, applicable delivery charges and arrangements will be confirmed as part of the ordering process.
For products purchased through the website, available delivery options and charges will be shown at checkout.
Please ensure that all delivery details provided are complete and accurate. We cannot accept responsibility for delays or additional costs resulting from incorrect or incomplete information supplied by the customer.
Delivery and dispatch dates are estimates only. We will make reasonable efforts to meet estimated timescales but cannot accept responsibility for delays caused by circumstances outside our reasonable control.
International orders may be subject to freight charges, duties, taxes, customs fees or other charges depending on the destination and agreed delivery terms.

13. Inspection, Faults & Returns
Please inspect all goods promptly following delivery and before cutting, hanging, upholstering, installing or otherwise using them.
If you believe goods are faulty, damaged or incorrect, please contact us as soon as possible and do not cut, install or use the goods while the issue is being assessed.
Our fabrics, wovens and wallpapers are printed, woven, cut or otherwise supplied to order. As a result, we are unable to accept returns or exchanges unless goods are faulty, damaged or incorrect.
Natural variations inherent to the materials and production processes, including variations in weave, colour and texture, together with characteristics such as slubs and other natural irregularities, are not considered faults.

Nothing in these Terms & Conditions affects your statutory rights.
14. Intellectual Property
All designs, patterns, product names, drawings, photographs, images, text, graphics and other creative material produced by or for Virginia White Collection are owned by or licensed to Virginia White Collection unless otherwise stated.
They may not be copied, reproduced, distributed, modified or used for commercial purposes without our prior written permission.
Any bespoke drawings or designs produced in connection with a customer order remain the intellectual property of Virginia White Collection unless otherwise agreed in writing.
15. Website Use
We take reasonable care to ensure that information on our website is accurate and up to date. However, we cannot guarantee that the website will always be uninterrupted, error-free or completely current.
Our website may contain links to third-party websites for convenience or information. We are not responsible for the content, availability or privacy practices of those websites.
16. Liability
Nothing in these Terms & Conditions excludes or limits any liability that cannot lawfully be excluded or limited, or affects your statutory rights.
To the extent permitted by law, Virginia White Collection will not be responsible for indirect or consequential losses arising from the use of our website or products.
We will not be responsible for loss or damage resulting from the incorrect installation, treatment, handling, storage or use of a product contrary to any information or instructions provided by us.
17. Events Outside Our Control
We will not be responsible for delays or failure to perform our obligations where this results from events outside our reasonable control, including disruption to manufacturing, transport or supply chains, industrial action, natural disasters, government restrictions or other unforeseen circumstances.
Where such circumstances affect an order, we will make reasonable efforts to keep you informed.
18. Privacy
We collect and process personal information in accordance with our Privacy Policy.
19. Changes to These Terms
We may update these Terms & Conditions from time to time to reflect changes to our products, services, business practices or legal requirements.
The Terms & Conditions applicable to an order will be those in effect when the order is placed or otherwise agreed with you.
20. Governing Law
These Terms & Conditions and any contract between you and Virginia White Collection are governed by the laws of England and Wales.
Nothing in this section affects any rights you may have as a consumer to bring proceedings in another jurisdiction where applicable law permits you to do so.
